Privacy policy

LoxLeague runs the websites youth sports leagues use to organise their seasons. Most of what the software holds is information about children, entered by their own families, so this page is specific about what is collected, who can see it, and what we will not do with it.

1. Who we are

LoxLeague is a product of Loutronics, LLC, a Georgia limited liability company registered in Cobb County.

2. Your league, and us

Each league decides what it collects and who on its board can see it. We host and operate the software on the league's behalf, and we keep each league's data in its own separate database — one league's families, rosters and messages are not mixed with another's. If you have a question about why your league asks for something, the league is the right place to start; if you cannot get an answer, write to us.

3. What is collected

  • Your account — name, email address, a password stored only as a hash, and a mobile number if you choose to add one.
  • Your player's record — name, date of birth, division, team, and whatever optional details your league asks for: bats and throws, shirt size, height and weight, a photo, an emergency contact, and medical notes such as allergies.
  • Taking part — registrations and payment status, rosters, attendance, volunteer sign-ups, practice and game schedules, scores, and tryout or coach evaluations where your league runs them.
  • Things people write — messages between members, announcements, discussion posts, support tickets, and coaching notes.
  • Film and photographs that a coach, trainer or family uploads.
  • Ordinary technical records — the usual server logs needed to run and secure a website.

4. How it is used

To run your league's season, and for nothing else: putting teams together, publishing schedules, taking registrations, sending the messages you asked for, and giving coaches the tools their league has turned on. Some features use AI — practice and game plans, draft help, an assistant you can ask questions of — and those send only the information needed to answer, never a child's medical notes.

5. What we never do

  • We do not sell your information, or a child's, to anybody, for any purpose.
  • We do not use it for advertising and we do not share it with advertisers or data brokers.
  • We do not send marketing texts. Texts are about your own family's participation. See the text message terms.
  • We do not put medical notes anywhere but the website. A child's medical notes are never sent in a text message and never shown in the app; those tell a coach only that notes exist and to open the player on the website.

6. Children

Children do not have accounts. An account belongs to an adult, and a player's record belongs to that adult's account — a child cannot sign in, receive a text from us, or message anyone. The adults connected to a child's record are the people who can see and change it.

Information about a child is collected from their own parent or guardian, or from the league they registered with, and is used only to let the child take part in their league. A parent or guardian can see everything held about their own child, correct it, or ask for it to be removed — by editing the player on the website, by asking their league, or by writing to us.

7. Who can see what

Not everyone in a league sees the same thing, and that is enforced by the software rather than by convention.

  • A family sees its own children, and what the league publishes to everybody.
  • A coach sees the children on their own team — not another team's, and not a child who has left. An assistant coach sees only what their head coach has given them.
  • Coaches' ratings and private notes are never shown to parents, and a coach cannot see another coach's.
  • Film and photographs are private until shared.
  • Direct messages: the league office can always see who is talking to whom, which is a safeguarding requirement. It cannot read the words unless somebody in the conversation reports it — and when that happens, both people are told it was opened.
  • The league office can see what it needs to run the league, including a child's emergency contact and medical notes.

8. Service providers

We use a small set of providers to run the service: Amazon Web Services (hosting, file storage, text-message delivery), Cloudflare (DNS and traffic protection), Stripe (card payments — we never see or store your card number), an email relay for the mail your league sends, and xAI (the AI features above). Each receives only what its function needs.

9. How long it is kept

A league keeps its records for as long as it runs — seasons, rosters and results are the history the league exists to keep. Backups are retained so a league can be restored after a failure. When an account is closed, or a league leaves LoxLeague and asks us to delete its data, we remove it from the live service; copies inside backups age out with the backup itself.

10. Security

Traffic is encrypted in transit. Passwords are stored as hashes and never in a form we can read. Each league runs on its own instance with its own database and its own credentials, so a problem with one league is not a problem for another. No system is perfect, and we would rather say that than imply otherwise.

11. Your choices

  • Texts: reply STOP to any message, or turn them off on your account page. Consent to texts is never required to register or to pay.
  • Blocking: you can block another member from messaging you, and they are not told.
  • Closing your account: you can close your own account from your account page, without asking anybody.
  • Getting a copy, or asking us to correct or delete something: write to support@loxleague.com and we will act on it, and tell you what we did.

12. Changes, and how to reach us

These terms may change; the current version is always the one on this page, and the date at the top says when it last moved. Questions about privacy, or a request about your own or your child's information, go to support@loxleague.com.
